Set-up procedures

This section provides full information about booth set up and dismantling before and after the show.

ATTENTION
All the mandatory documents necessary for the booth project approval must be uploaded on the Veronafiere Portal by and no later than 18 march 2019

SET UP OPTIONS

EXHIBITORS must log into the exhibitor’s reserved area on the Pulire official website and click on the Veronafiere Portal banner

in order to choose their booth set up option from the following:

1) Exhibitor's own personnel (booth will be installed and decorated by the exhibitor's own personnel)

For booth project approval, exhibitors must submit the mandatory documents.

WHAT MUST THE EXHIBITOR DO?

Exhibitors choosing EXHIBITOR’S OWN PERSONNEL are required to upload the mandatory documents onto the Veronafiere Portal via the link in the exhibitors' reserved area.

Please read and acknowledge the following regulations and rules for booth set up and dismantling.

MANDATORY DOCUMENTS

For booth approval, please submit the following documents onto the Veronafiere Portal:

  • Floor plan and scale drawings (1:50 or 1:100) with perspective views
  • Form 5b STATEMENT ON THE FIRE REACTION OF MATERIALS along with a copy of classification and fireproofing certificates for all the materials used
  • Form 5c AUTHORIZATION OF THE STRUCTURES (only for “special setups” > see details on form)

Once booth assembly is completed, exhibitors shall fill in Form 4 STATEMENT OF CONFORMITY TO PROFESSIONAL STANDARDS

For special structures, in addition to the required documents, exhibitors must also provide a structural analysis report including technical drawings designed and signed by a certified member of the Order of Engineers/Architects. The structural analysis report can also be obtained from the Veronafiere Certification Service.

How to download 5b/ 5c forms:

  • enter the reserved area of the Veronafiere Portal
  • click on the three dots in the lower left corner (see picture) Area Download
  • click on DOCUMENTS AREA from the popup menu and then on EXHIBITOR SERVICES MANUAL

For a step-by-step guide of the Veronafiere Portal please read and acknowledge the Exhibitor’s Manual.

IMPORTANT: once the final documentation has been uploaded, click the "Save" button to change the practical status from “Not approved” to “To check”.

Please, do not send any materials by e-mail/fax to the PULIRE or Veronafiere Technical Offices. Mandatory documents must be uploaded exclusively onto the Veronafiere portal.

2) Stand Contractor Company/Fitter (booth will be installed and decorated by a stand contractor company/fitter)

Exhibitors who choose this option must provide details (name, email address, VAT number) of the firm chosen. The Contractor will then receive an e-mail with authorization to submit the documents required for approval.

WHAT MUST THE STAND FITTER DO?

Exhibitors who wish to use a contractor to set up, service and dismantle their exhibits, may do so provided that both the exhibitor and Exhibitor Appointed Contractor comply with the rules and policies.  Please read and acknowledge the following regulations and rules for booth set up and dismantling.

Contractor firms shall request the floor plan of the stand area exclusively to exhibitors.

In order to upload the required documents for the booth project approval and browse the material about the venue, Contractors must wait to receive an e-mail with the password and authorisation link to access the reserved area on the Veronafiere Portal.

Contractors who are already registered on the Veronafiere Portal (in possession of their own username and password), may upload the documentation for booth project approval at the link https://pass.veronafiere.it/omnia/, only after receiving a confirmation e-mail from the Veronafiere portal.

Contractors, who have not received the e-mail with authorisation link to access the Veronafiere portal, should request the exhibitor to choose their preferred booth set up option.

MANDATORY DOCUMENTATION

Please, upload the following documents on the Veronafiere Portal for booth approval:

  • Floor plan and scale drawings (1:50 or 1:100) with perspective views
  • Copy of the stand fitter's third party liability insurance policy, (showing the latest payment and minimum coverage of €2,500,000), valid from 6 days prior to the start of the fairexhibition until 6 days after it
  • Form 5b STATEMENT ON THE FIRE REACTION OF MATERIALS accompanied by a copy of classification and fireproofing certificates for all the material used
  • Form 5c AUTHORIZATION OF THE STRUCTURES (only for “special setups” > see details on form)

Once booth set up is completed, fill in Form 4 STATEMENT OF CONFORMITY TO PROFESSIONAL STANDARDS

Please do not send documents by e-mail/fax to the PULIRE or Veronafiere Technical Offices. Mandatory  documents must be uploaded exclusively on the Veronafiere portal.

3) Shell Scheme Stand (stand setup by the official exhibition stand fitter)

Choose this option if you wish to book a stand pre-fitted by the organizer. 

WHAT MUST THE OFFICIAL EXHIBITION CONTRACTOR FIRM DO?

POZZANI SRL is the official exhibition stand fitter and is responsible for sending all obligatory documentation for approval of the stand design.

ATTENTION
Exhibitors who wish to choose a shell scheme stand must also fill in the Shell Scheme Stand form in the Exhibitor reserved area in order to choose the shell scheme type, TOP or Standard.

4) No stand structure/decoration (we will not se-up/install any stand)

Choose this option if you only wish to exhibit your goods with no fittings. Exhibitors who only use carpet or other furnishing items must choose stand set- up option 1) EXHIBITOR’S OWN PERSONNEL

WHAT MUST THE EXHIBITOR DO?

Exhibitors, who choose No stand structure/decoration and only have their own goods and furniture (tables/chairs) in the stand, do not need to upload any document.

ACCESS TO THE TRADE FAIR DURING SET-UP AND DISMANTLING

(FOR EXHIBITORS AND CONTRACTORS)

Personnel and Vehicles wishing to enter the venue during set up and dismantling must request the personal BARCODE PASS in the appropriate sections of the Veronafiere portal. Once the booth project has been approved by the technical office, Exhibitors/ Contractors shall print out the personal BARCODE PASS required for each employee and each vehicle to enter the venue during set up and dismantling.

For details on the accreditation of Personnel and Vehicles and to print out the BARCODE PASS see the instructions in the Contractors's Manual or the Exhibitor's Manual.

IMPORTANT: The EXHIBITOR'S PASS does not allow access to the venue during set up and dismantling. You must have your own BARCODE PASS.

ATTENTION: Veronafiere may prohibit entrance to the venue to, contractor/exhibitor who have not uploaded all mandatory documents. Verification of documents on site may also entail long waiting times

SET UP AND DISMANTLING DATES

Set up and dismantling dates and times are specified in the PULIRE 2019 Exhibition General Regulations, in Paragraphs 11.3 and 11.4

HANGING SIGN

Full information on hanging sign can be found in Chapter 3 - Ceiling Appendages and Hanging Structures in the Veronafiere 2019 Technical Regulations

The Veronafiere pavilions are equipped, where possible, with ceiling hooks. This will enable exhibitors to hang lighting, sign boards and ceiling fixtures from the pavilion roof.

On request, Veronafiere can provide hanging points with certified cable for a maximum load of 150 Kg to the maximum available height. Plans of the various quadrants showing the cable points are available on request.

IMPORTANT

Waste materials (carpet, temporary panels, electrical waste etc.) must be disposed of properly after set up and dismantling. Exhibitors who fail to meet these obligations will be charge the total amount of waste disposal.
